A System That Created More Work Than It Saved

APDA made the decision to implement NetSuite to gain the organizational benefits of a modern ERP. Post-implementation, they ran into significant obstacles that slowed day-to-day operations and undermined staff confidence in the platform.

The system's configuration hadn't been optimized for APDA's workflows, leaving end users without the dashboards, approval workflows, or reports they needed to do their jobs effectively. Rather than automating manual processes, NetSuite had become another layer of complexity to work around.

Key challenges:

  • Entirely manual financial processes — budgets were entered line by line, payroll journal entries were keyed in by hand, bank reconciliations were completed offline, and accounts receivable was tracked outside the system.
  • No meaningful reporting — the team lacked customized reports and dynamic dashboards, making it difficult for leadership to access timely, accurate financial data.
  • Inadequate user security — all end users were operating under a single Administrator role, creating organizational risk around sensitive financial information.
  • Insufficient training and documentation — staff hadn’t been equipped with the knowledge to navigate the system, manage financial periods, or use core ERP functionality.
  • Lack of ongoing vendor support — after go-live, APDA had no reliable partner to turn to for day-to-day questions or troubleshooting.

The result: a 35-person user base operating below the system’s potential, with growing frustration and a mounting backlog of manual workarounds.

The Approach

A Tailored Optimization That Put APDA Back in Control

Wiss’ Technology Advisory team stepped in as APDA’s primary support partner, conducting a thorough assessment of the NetSuite environment and developing a structured remediation plan built around APDA’s specific workflows and organizational needs.

Rather than a generic fix, our approach addressed each pain point with a targeted solution.

System Configuration & Automation

We redesigned APDA’s NetSuite environment from the ground up, streamlining approval workflows, building custom dynamic dashboards for end users and leadership, and developing tailored reports that gave the C-suite and senior leaders real-time visibility into financial performance. We also built APDA custom roles aligned to each job function, replacing the all-access Administrator setup and significantly reducing organizational risk.

Eliminating Manual Processes

We tackled the manual burden head-on by integrating APDA’s payroll provider directly with NetSuite, setting up BAI2 file importing for instant bank reconciliation, assisting with American Express integration, and creating an import template to replace manual data entry from their CRM system. For budgeting, we automated the conversion of their Excel budget into an importable CSV, turning a multi-day data entry process into a task measured in minutes.

Training & Knowledge Transfer

We provided hands-on training for end users across system navigation, report building, import utilities, and financial period management, backed by step-by-step documentation they could reference going forward. The goal wasn’t just to fix the system; it was to make sure APDA’s team felt confident using it.
